How does the Truancy Call system work?
Once an AM period roll call has been completed the attendance module in the school’s School Management System would be accessed and all those marked as an 'Absent (cause not established) ' would be checked by an operator to see whether they are a genuine absence or whether they have arrived in late, on holiday, have been excluded, etc. as normal practice.
Satisfied that all ‘Absent (cause not established)’ marks have been checked, the operator would then simply generate an Access Query file (using XML technology), retrieve the names of absentees, their parents names and contact details from the attendance and contact database of the School Management System and then be presented with a list of all pupils absent without explanation that day, as shown below. (Example only).
Further checks can be made by the operator to ensure that they want a call/text/email message to go to the parents of those pupils. Those whom they do not wish to be called/texted can simply be deleted off the list.
Once happy with the list, the file is exported to Truancy Call using standard FTPs then the data is transmitted via secure encrypted XML to the Truancy Call text messaging, phone and email system which will result in phone calls and/or text messages and email being automatically sent to the parents contact telephone numbers/email address.
The same process can undertaken in a PM period roll call, for example should a pupil attend morning registration and then skip school this would be flagged on the School Management System that they were absent for afternoon registration. Going into the Truancy Call software and retrieving that, would ensure that a different phone call message /text message is sent to the parents conveying this.
Writing direct back to attendance on Schools Management System
Once a response by the parent, whether it is in the form of a Voice Message, a reply to the email or a parent phoning in after they have received a text message, the appropriate attendance code can be added in against the pupil and the date the pupil is expected to return.
Should the parents have a left a voice message, this would appear on the Truancy Call system next to the appropriate child. The operator can then click on the voice message. This would play through the PC speakers. So if for example, the message says that their child has broken their leg and would be off school for two weeks. The operator would then select the code Absent (Medical) and mark the date two weeks from the receipt date.
Having entered your code and the date you expect the child to return in Truancy Call, the operator will then enter the information direct to the Schools Management System. There are no double entry requirements.
Messages to parents
Different schools require different types of messages to be sent to parents and wish to block out certain numbers to prevent them being called. Truancy Call can do this. The school has three main calling options as shown.
Phone calls to landlines and mobiles (Voice Message)
Should your school opt for phone calls to go to parents then these are automatically generated to the parents contact telephone numbers.
Once the system makes contact it asks the parent/guardian to confirm that the call is for them and then proceeds to ask if they are aware that their child is absent from school and requests a reason for the absence.
Should the parent/guardian be unaware, Truancy Call offers an option to be connected to the school (out of school office hours an answering service automatically comes in the play) thus providing an early warning if a child goes missing. (See phone script for how the phone call is structured)
The parent’s response is stored back onto the Truancy Call system next to the appropriate pupil as a voice message which the operator can listen to as it plays through the PC speakers.
After calling up to 5 separate telephone numbers, should there be no response; Truancy Call will try again an hour later, and hour later and so on until a response is received. The system stops calling at 8pm. In the UK a third of all responses from parents are received between 6-8pm. In addition 90% of schools who use Truancy Call opt for Phone calls to landlines.
Text to mobile phones (Text Message)
Should your school opt for text messages to go to parents then these are automatically sent to the parent's mobile phone(s).
Upon the receipt of the text message which will inform them that their child is absent from school that day the parent dial the school number provided to give a reason for their child’s absence.
Email Message
Whichever calling option is selected should the parents have an email address on the School Management System they will be automatically sent an email (see below) from the schools email address. This ensures that should the parent reply to the email, the reply will go straight back to the schools email address.
How are the messages delivered?
The Truancy Call service is provided via equipment owned and operated by Truancy Call Ltd. The Truancy Call system formats the message to go out to the parents via a voice message or text message; this is then sent through a 120 line phone system or to a directly-connected SMS gateway owned and operated by Truancy Call Ltd.
The scaleable 120 line phone system delivers the phone calls (voice messages) whilst a directly-connected SMS gateway delivers the text messages. The system currently delivers over 150,000 Truancy Call messages per month
